Detailed Job Description
Key Responsibilities

  • Manage digital communication channels and virtual meeting schedules
  • Manage customer deliverables, meeting scheduling, and action item follow-up
  • Take and maintain meeting minutes for virtual internal and external meetings
  • Coordinate team activities and projects using project management software
  • Function as customer contact and interact with team members as necessary to satisfy customer requests and needs
  • Maintain and organize digital filing systems and databases
  • Assist with onboarding new remote team members
  • Provide administrative support to executives and team leaders
  • Manage virtual office supplies and software subscriptions
  • Coordinate remote team-building activities and virtual events
  • Assist with basic HR tasks such as time tracking and leave management
  • Help troubleshoot basic technical issues for team members
  • Create and maintain standard operating procedures for remote work

Additional Information

  • This position is subject to a 90-day probationary period for new hires.

Qualifications and Requirements

  • Proven experience in administrative or operational roles, preferably in a remote setting
  • Excellent organizational and time management skills
  • Strong proficiency in digital tools and platforms (e.g., Microsoft Office, Teams, G Suite, Slack, Zoom, project management software)
  • Outstanding written and verbal communication skills
  • Ability to work independently and proactively in a virtual environment
  • Problem-solving mindset with attention to detail
