Position Summary:
The Administrative Coordinator will work as part of the Operations team to support day-to-day functions of the organization. At PEA, our Operations team provides cross-cutting and essential functions that enable our organization to run efficiently and smoothly, remain compliant with city and state regulations, and support our staff.
The Administrative Coordinator will be the front-line for operational services to PEA staff. They will manage incoming requests to the Operations team, provide support to team members on complex tasks and projects, and manage PEA’s office space.

Role Responsibilities:
- General administrative and operations responsibilities including managing and routing phone calls, emails, physical mail, and staff support requests appropriately.
- Manage initial IT support requests and coordinate with PEA’s external IT support vendor, escalating to PEA’s Operations Manager as necessary.
- Work with PEA’s Operations Manager to process contracts for electronic signatures and file signed documents appropriately.
- Request and manage vendor information.
- Schedule and coordinate meetings and events; prepare event materials for PEA board meetings, press events and other public events.
- Ensure PEA’s office is a productive work environment by managing office supplies, equipment and building maintenance requests.
- Maintain a filing and record retention system (digital and hard copy files).
- Attend internal meetings, take accurate meeting notes, ensure all action items are captured and tracked to completion.
- Send general office communications and reminders and track responses as necessary.
- Update PEA website content as necessary.
- Provide assistance to staff, managers, and senior-level officers as needed.
- Support other admin and operational functions as needed.
Minimum Qualifications:
- College degree or equivalent work experience
- At least 1 year of related work experience
- Highly organized with strong administrative skills
- Excellent written and verbal communication skills
- Strong interpersonal skills
- Comfortable in a fast-paced work environment with multiple priorities, objectives and deadlines
- Strong proficiency in Google Workspace, MS Office, including Excel and Word, and video conference and communications platforms such as Zoom
- Philadelphia residency (or willingness to become a resident within 6 months of date of hire) required
Preferred Qualifications:
- Experience providing staff support at varying levels of an organization from peers to executives
- Familiarity with or an inclination to troubleshoot IT hardware and software issues
- Administrative experience with contractual or financial tasks
Salary & Benefits: $55,000 to $60,000 commensurate with experience, plus excellent benefits package including a generous healthcare package, retirement and fringe benefits, paid time off and government holidays.
